Your final year clearance is an important procedure that signifies the conclusion of your academic journey. This guide comprises all the key steps and requirements for an effortless clearance process.
Before I jump to all the steps and requirements to successfully complete your final year clearance, I want you to pay attention to the essential details below.
Essential Requirements for Your Final Year Clearance
These are the essential documents you need to complete the clearance process. Check out this list again and again and ensure you have the following:
- Clearance application (available from the school's administrative office or online portal)
- Student ID card
- Payment confirmation documents for tuition and other charges
- Library clearance document
- Departmental clearance document
- Hostel clearance document (if relevant)
- Receipt for final project/thesis submission
- Verification of examination and academic records
Steps to completing your Final Year Clearance
Note: We are using the University of Ibadan as a case study.
Step #1: Library Clearance, Submit Library Books and Clear Dues
You are to return all books that have been borrowed and settle any unpaid fines and/or dues at your university library.
To start, enter Kenneth Dike Library (KDL), where you will receive a form to complete.
Remember to go with your KDL ID, which will be collected after you complete the clearance process.
The clearance should take about 30 minutes unless you have overdue book(s) from the library. In that case, be prepared to make some payments.
Once you're done here, you will be redirected to your Faculty Library to sign the form. You are expected to return back to Library, KDL to finalize your registration.
Step #2: Hall of Residence Clearance, Settle Accommodation Issues
Whether you live in university accommodation or not, you must visit the hostel management office to verify that you have cleared your room and returned all required items, such as keys, and to truly verify that you don't spoil any hostel facilities.
You will need the following for your Hall of Residence clearance:
- School fee receipts (from your first year to your final year)
- Room Clearance
- Your recent passport
- Your School ID
- Off-campus form: This is necessary if there are any semesters you did not stay in the hostel.

Step #3: Maintenance clearance (If Applicable)
This is the next clearance step once you are done at your hall of residence. Maintenance clearance is quite straightforward. Here, you are only expected to bring your form from your hall, and they will simply sign and stamp it for you.
For University of Ibadan students, UI Maintenance Office is located along PG School.
Step #4: Medical or School Clinic Clearance (Also JAJA Clearance)
This clearance is one of the quickest and easiest, usually taking less than 15 minutes. Simply walk into the JaJa clinic and present your JaJa card for immediate stamping and signing. If you've lost or misplaced your card, the consequences are unclear.
Step #5: School Alumni Clearance
Your Alunmi clearance requires some token payment.
Pay a total fee of #1,000 into the U.I. Alumni account; for smooth payment, you can go to any nearest bank, to be precise First bank at outside the UI first gate.
Don't worry about the account number; it will be displayed on the board inside the bank. For successful process, kindly pay attention to the following:
1. Go along with a neat and single one thousand naira and not two 500 naira note. The security guard will not accept it if it's not neat. The machine won't process it automatically.
2. Once you're done with the payment in the
Bank, you will collect a receipt.
3. Take the receipt directly to Alumni Office at the front of Queen Hall and there, you will be given a receipt that will indicate you have completed your alumni clearance.
Note: Alumni Office is no more giving graduates a magazine.

Step #6: Obtain Departmental Clearance
Visit your department head office or the course adviser to guide you on the exact steps to take.
You will definitely obtain a form and be asked to present all receipts of your departmental dues payment from your first year of studentship.
Step #7: Sport Clearance at your School Sport Office
You shouldn't stay long here, provided you have all the necessary credentials listed below:
- School ID
- Hall clearance
- Alumni clearance
- Library clearance
For the University of Ibadan graduating students, the UI sports office is located next to the Faculty of Education, at the front of the Economics NEW CBN Building.

Step #8: Your Faculty Clearance
Here, for quick and effortless clearance, make sure you have all the requirements. The list of the necessary requirements is as follows:
- Departmental clearance
- Sports clearance
- KDL Clearance
- Alumni clearance
- Your Hall of Residence Clearance
Step #9: Student Affair Clearance
Next, proceed to the Student Affairs office located in room 14 at the back of the UI Administration Building. The UI Admin Building is located after the front of Love Garden.
Step #10: Bursary Clearance
To successfully complete your bursary registration, you need the following:
- Jaja clearance
- Your passport photograph
- Graduation receipt
- Alumni receipt
- Your hall and maintenance clearance
- Sports clearance
- All your school fee receipts
- Your faculty and departmental clearance
- Your Lodgins Clearance (This is the clearance you collected at the Student Affair.)
- Library clearance
- A photocopy of your statement of result (to be collected at the Exam and Record Office).
Step #11: Student Affairs Division Clearance
To clear yourself here, you will need the following required documents:
- Bursary clearance
- Graduation receipt
- Jaja clearance
- Alumni clearance
- Sports clearance
- Caution and hall clearance
- Library clearance
- School fee receipts from your first year to graduation
- Departmental clearance
- Faculty clearance
- Lodgins clearance
All documents must be originals, and ensure you added two photocopies of the statement of results.
